Depending on how you interact with AWC, we may collect:

  • Your name and email address;

  • Your city and country;

  • Your date of birth;

  • Whether you are an athlete, former athlete, coach, practitioner, parent, student, researcher, educator, team representative, organization representative, or business representative;

  • Your sport, professional field, area of expertise, or general experience;

  • Your professional, educational, or community interests;

  • What you hope to gain from or contribute to AWC;

  • Information about the team, organization, or business you represent;

  • The approximate number of athletes your organization supports;

  • Topics, programs, events, articles, or resources that interest you;

  • Questions or messages you choose to send us;

  • Event registrations and attendance information;

  • Your communication and newsletter preferences; and

  • How you heard about AWC.

We use date of birth on the general interest form to determine whether the respondent meets the form’s minimum age requirement.

Please do not submit medical records, diagnoses, treatment information, detailed injury information, or other sensitive health information through our general interest, newsletter, or contact forms.

We do not request payment-card information through the general interest form.

AW Journal subscriptions

When you subscribe through journal.athletewellness.co, we collect your first name, last name, email address, professional or community role, and communication preferences.

This information is sent to Mailchimp to manage subscription confirmation, AW Journal notifications, email delivery, engagement information, and unsubscribe preferences.

If you subscribe through AWC’s Substack presence, Substack may also collect and process information under its own privacy policy.

Events and communications

When you register for an event, workshop, call, or other experience, we may collect your name, email address, registration information, attendance information, communication preferences, and other information reasonably needed to administer the event.

AW Labs information

AW Labs is separate from AWC’s general public interest and newsletter forms.

If you participate in an AW Labs program, we may collect athlete-development, performance, wellness, program-participation, assessment, or other information described in the applicable enrollment documents, agreements, and consent forms.

AW Labs participants receive additional information explaining what is collected, why it is collected, who may access it, how it may be used, and how long it may be retained. When a program permits participation by a minor, the program will use a separate parent- or guardian-directed enrollment and authorization process.

Do not submit AW Labs information through the general AWC interest form or AW Journal subscription forms.

Website and technical information

When you use our websites, forms, or communications, we and our service providers may automatically process limited technical information, such as:

  • Internet Protocol address;

  • Browser and device type;

  • Operating system;

  • Pages viewed and approximate access time;

  • Referring website, referral source, or referral code;

  • Cookie or similar technology identifiers;

  • Interactions with emails, such as delivery, opening, or link activity; and

  • Information needed to operate, secure, analyze, and troubleshoot our websites, forms, and communications.

How we use information

We may use personal information to:

  • Determine eligibility for an adult-only form or service;

  • Respond to inquiries and requests;

  • Understand interest in AWC’s community, programs, content, and resources;

  • Evaluate what programs, content, partnerships, and experiences to develop;

  • Administer events, workshops, calls, and programs;

  • Operate the AW Journal and send requested publication notifications;

  • Send information someone has requested;

  • Send marketing communications when permitted by law and consistent with the recipient’s choices;

  • Facilitate an introduction requested or authorized by the individual;

  • Understand referral sources and general audience trends;

  • Maintain, secure, troubleshoot, and improve our websites and operations;

  • Detect fraud, abuse, or security incidents;

  • Comply with legal obligations and protect our rights; and

  • Create aggregated or de-identified statistics that do not reasonably identify an individual.

AWC does not provide medical or mental-health diagnosis or treatment through its general website, interest form, or AW Journal subscription forms.

Legal bases for processing

Where applicable law requires us to identify a legal basis, we may process personal information based on:

  • Your consent, including for optional marketing communications;

  • Steps taken at your request or performance of an agreement with you;

  • Our legitimate interests in responding to inquiries, operating AWC, securing our services, and understanding interest in our programs;

  • Compliance with a legal obligation; or

  • Establishing, exercising, or defending legal rights.

You may withdraw consent for future processing when our processing is based on consent. Withdrawal does not affect processing that occurred before withdrawal.

Email and marketing choices

We send marketing communications only when permitted by applicable law and consistent with the choices you provide.

When you subscribe to the AW Journal, we may email you about new articles and related AW Journal publications. When you separately opt in to broader AWC communications, we may also email you about AWC events, resources, programs, and opportunities.

Every marketing email will include an unsubscribe method. You may also opt out by emailing info@athletewellness.co.

We process unsubscribe requests as promptly as reasonably practicable and within the period required by applicable law.

Unsubscribing from marketing does not automatically delete event records, program records, form responses, or other information that we must or are permitted to retain for a separate purpose.

We use reasonable administrative, technical, and organizational measures designed to protect personal information.

Access is limited to authorized AWC personnel and service providers that need the information for an approved purpose.

Minors

AWC’s general interest form, direct mailing-list registration, and individual membership registration are intended only for people who are 18 years of age or older.

We request a date of birth at the beginning of the general interest form to determine whether the person meets the minimum age requirement. If the submitted date indicates that the person is under 18, the person cannot continue through the form.

We do not use an under-18 age-screen response to send marketing or general follow-up communications.

A parent or legal guardian may contact info@athletewellness.co regarding opportunities involving a minor.

Programs involving minors, including any applicable AW Labs program, use a separate parent- or guardian-directed enrollment process and additional agreements, notices, and permissions.

If you believe AWC received personal information directly from a minor outside an approved enrollment process, please contact info@athletewellness.co.

AWC is based in the United States. Personal information may be processed in the United States and in other countries where our service providers operate.

Those countries may have privacy laws different from the laws where you live. Where applicable law requires a transfer safeguard, we take steps designed to use an available lawful transfer mechanism.

If European Union or United Kingdom privacy law applies, you may have rights to request access, correction, deletion, restriction, objection, or portability and to withdraw consent. You may also have the right to complain to the data-protection authority where you live.

  • Restrict or object to certain processing;

  • Provide certain information in a portable format;

  • Withdraw consent for future processing; or

  • Stop sending marketing communications.

We may take reasonable steps to verify your identity before completing a request. We generally aim to respond within 30 days, although applicable law may permit or require a different period.

We will not unlawfully discriminate against someone for exercising a privacy right.

Our websites may link to third-party websites and services.

AWC operates the AW Journal at journal.athletewellness.co. We may also publish or distribute content through third-party platforms such as Substack.

Information submitted directly to a third-party platform may also be governed by that platform’s privacy policy. We encourage you to review the privacy terms of a third-party service before providing information through it.

Changes to this policy

We may update this Privacy Policy when our services, practices, providers, legal entity, or legal obligations change.

We will post the revised policy and update the effective date. If a material change affects how we use information already collected, we will provide additional notice or obtain consent when required by applicable law.
